CRC Remote Storage Processing
BACKGROUND: Upon request of the CRC Librarian, items may be transferred from CRC to
Remote Storage. Some of the items have not been transferred from OCLC to MaagNet. Some of the
items are duplicates that the CRC Librarian is attempting to "de-dupe" but want to retain copies.
SCOPE: This procedure will give instruction when the items are not found on Maagnet and there
will be at least one copy of the item retained in CRC.
- Bibliographic record.
The Catalog Librarian will search OCLC for the appropriate record.
Call numbers will be assigned to the items if one is not already present. If the call number
is present, the cataloger will shelflist the item.
- Item records.
There are two types of item records: (1) items to be retained in CRC and (2)
items to be transferred to REMOTE Storage.
- Items to be retained in CRC.
If the cataloger is working from surrogate copy
or a duplicate copy, then the following is performed:
- Item record created with barcode number
- Note in record recording initials
- Message field to have circulation staff check for multiple
parts/items when existing. The message should be
constructed thus: CHECK FOR: <#><item name> + <#>
<item name> + <etc>
- Make sure that the IMESSAGE field has a "d" in the field
when more than one physical piece is in the container.
- Print out the bibliographic record and attach the barcode to
this record. (Barcode will remain on release sheet
stapled to bibliographic record.
- Items to be sent to Remote Storage.
Once the bibliographic record is
downloaded into Maagnet, the following is performed:
- Item record created with barcode number
- Note in record recording initials
- Message field to have circulation staff check for multiple
parts/items when existing. The message should be
constructed thus: CHECK FOR: <#><item name> + <#>
<item name> + <etc>
- Make sure that the IMESSAGE field has a "d" in the field
when more than one physical piece is in the container.
- Spine label and call number labeling on items.
The items should always contain "CRC"
at the top of the call number on the spine label and also on the handwritten call number. In
pencil write the call number on all pieces in a multi-piece item. (Always include the location
"CRC").
- Copies.
If the item being sent to remote is a copy 2 or higher, make sure that the item record
reflects this. If there are copies missing, that is okay. Use the copy number that is already
printed on the item.
- Questions.
Refer all questions to a Cataloger for resolution.
