Oversize Processing
SCOPE: This instruction sheet brings together verbal history on the processing of oversize
materials. By processing, we speak of cataloging system functions and general guidelines.
- New Materials for Maag library stacks. Newly received materials once measured for spine size (c in the 300 tag) will be placed in the appropriate location. The following rules should be followed:
- Items <28 cm. are considered to have the location code mast.
- Items 29-37 cm. are considered to be Oversize, with location maos.
- Items 38< cm are considered to be Double Oversize, with location
mados.
- 949 Transfer Information. See CP265: Oversize Notations in MARC Records.
- Added volumes. When an item is received in which the title is not new to the collection, but the addition volume is, search MaagNet and place the item in the location with the rest of the set. If the item is between 1 and 5 mm. over the state sizes above, do not change to oversize if the previous volumes of the set is in regular stacks. And vice versa for new volumes that are shorter thepreviously received volume. If the added volumes are greatly increased in spine height, then the current volumes must be pulled and changed to oversize to collocate with the newest volumes that are being added.
- Exceptions. Judiciousness must always be used when working with additional volumes. If the previous volumes are in oversize (or double oversize in rare cases) and the additional volume is much shorter, it is best to place the new additions in oversize.
- MaagNet changes. Adjust MaagNet locations accordingly. Change not only in the item records, but the bibliographic records. If the set is extremely large, refer to a Catalog Librarian for decision and for Rapid Updating.
- Location Codes. The following table is used to determine what location goes where.
