Physical Processing of Books
BACKGROUND: Books are physically processed according to the generally accepted procedures
used in libraries across the nation. Maag Library has followed these in a variety of ways.
SCOPE: This instruction sheet attempts to codify the oral and handwritten traditions of processing
books in Maag Library. This will bring about consistency and a lower error rate. The order of the
steps below can be adjusted as the need arises. This sheet shall be shared with all student workers.
- Identification of Truck.
The trucks each have a calendar date slip taped to them. Always work from the oldest to the
newest.
- Flags in books.
Books will have the following types of flags:

If the item does not have a flag, it is processed using steps 3 to end below.
- Stamping. Each item (other than CRC) is stamped with the YSU property stamp. There are
four places that the book is stamped:
- Top of book.
- Inside front cover (lower r.h. side)
- Page 7 (yes, look for page 7!)
- Inside back cover (lower l.h. side)
For items that are not thick to use the usual two-line stamp, there is a small one-line property
stamp that should be used.
- Tattle tape. Place the tattle tape between two pages as far close to the spine as possible.
(Suggested places in book: in rear of book, and no illustrations on book)
- Date Due Slips. Place the date due slip DIRECTLY below the barcode. Using the DATE
STAMP, stamp each book next to the barcode/date due slip with date on the truck as the date of processing
items.
- Kapco Covers. These are applied to ALL PAPERBACK materials that have spines. (They
are not folded. These folder materials have pam binders applied)
- Apply Spine Labels.
Each truck will have at least one sheet of spine labels. The labels have the date handwritten
in the top margin. Make sure the dates from the label sheets match up with the truck.
- The call number will be found one page after the Title Page. ("t.p."). Match the call
number with the correct spine label. Accept no labels with errors. Bring the error
to the attention of a staff member to decide which is correct (the call number that is
hand written or the printed spine label).
If no label is found, set the item aside and move on. This problem will be addressed
as the last issue of this document
- Placement of the spine label.
- Spine protectors.
- Each spine label receives a clear plastic spine protector over it. You place it on
the label, length-wise, middle of the protector to middle of the label. Fold over
sides of book making sure to press it into the spinal edges. HEAT the protector
on the label heater. Be careful not to over heat or the protector will MELT.
- Books that have paper "jackets" will not receive a label protector. The jacket
covers will take place of this.
- Jacket Covers. Each book that has a jacket will receive a plastic jacket cover. Remember
to use the next larger size when the cover will not fit into the smaller covers. Use the "pre-
cut" cover tape to attach covers. (On a dispenser)
- Final steps.
REMOVE ALL FLAGS BEFORE SENDING TRUCK TO REVIEW.
Take a count of all the books needing jackets and write it on the steno pad kept near the desk.
Examine the calendar near the processing desk. The date on the truck will match up with a
person's name on the calendar. Deliver the truck to that person in Cataloging. They will
review the truck before it is shipped out to Circulation.
