Cataloging Type Indentification

BACKGROUND: The Catalog Department maintains a systems of staff identification for items cataloged. In addition, the Department changes Encoding Level=8 (CIP) to 4 or I to notify staff that that particular record was fully cataloged. This has lead to an unforseen problem: identifying those items that need to have upgraded records from OCLC overlayed.


SCOPE: This procedure standardizes identification of the types of cataloging performed and by whom. It also elevates the problem with CIP records mentioned above.


  1. To assist in identifying what type of cataloging has been performed the following standard will be used in item records before the person’s initials.

    Copy cataloging. The item was DLC or member-input. Encoding level was blank, 4, or I.

    CIP copy cataloging. The item had an encoding level of 8. DO NOT CHANGE THE ENCODING LEVEL. This is usually DLC, UKM or NLC.

    Original cataloging. A Catalog Librarian in the Department created the record on OCLC. No other record was found.
