Cataloging with OCLC Member-Input Records

SCOPE: This procedure is used when LC (DLC) copy is not found on OCLC. In addition, it is used for PCC cataloging. YSU will consider PCC as member input–just a better level of input. The MARC 042 field will contain the code pcc.

  1. Search database, using all appropriate search keys.


  2. If record is found, make sure it matches the edition in hand. If not, a new record must be input. (Place on shelf needing original cataloging). Check holdings to avoid duplication.


  3. Examine all available records. If a matching LC record is found, follow Cataloging with LC Copy at the Terminal.


  4. If no LC record is found, choose the best-matching member-input record, using the following guidelines:


    1. Do not use a record that contain a "DO NOT USE" note.


    2. Prefer records that contain full LC cataloging information. Consider ELvL 4 as full level information.


    3. If "B" does not apply, prefer the record that has been used by the greatest number of libraries, unless another is clearly superior.


    4. If "C" does not apply, prefer the record with the lowest OCLC number.


    5. If the ELvl is "J", search for another record or refer item to the catalog librarian.


    6. If the ELVL is 3, 5, 7, K, or M, refer to shelf for Cataloger intervention.



  5. If a record appears to be equal to an LC record in all particulars, proceed from this point to follow Cataloging with LC Copy at the Terminal and Locally Assigned Call Numbers.


  6. Edit record off-terminal if necessary. You may find inaccuracies with information contained in the MARC tags 245 through 500. Make the necessary corrections.


  7. Search Online Authority Files in MaagNet and OCLC to determine LC's treatment of the series. Search authority files on MaagNet first and do name authority work. If no record exists on Maagnet, search OCLC to find the appropriate heading. If no series authority record exists, circle 4XX on bib printout and place on shelf for catalog librarian to establish series treatment.


  8. If the only available record lacks essential parts, such as LC classification number, series statement, or subject headings, if description appears to require extensive modification, or if classification or subject headings appear inappropriate to too general, place book along with a printout on the cataloger's shelf.


  9. Identifying list of problem:
    ►     No call number
    ►     Call numbers Z1000+
    ►     No 6XX 0 subject headings. (Second indicator 0 is LCSH).
    ►     Series statement missing, but should be added.


  10. Follow procedure Cataloging with LC Copy at the Terminal for final production.
