Gift Cataloging
SCOPE: This procedure is established to provide instruction on cataloging and processing
monographs that are received as gifts in the collection.
- Cataloging. Use the normal procedures for cataloging the item. (Follow Cataloging
with LC Copy at the Terminal or Cataloging with OCLC Member-Input Records)
- Local notes. If the person(s) have requested, the record may contain the donor information.
Record this information in a Note field of the ITEM record. Additionally, add a separate
note field in the item record with the word gift.
- The following is an example of an item record:
- You may enter all this information via the 949 statement when cataloging from OCLC. The
example from above would look like this:
949 *recs=b;ins=cajtr;ov=.B17636322;
949 1 g 1 i 31217007319638 l mat n c:jtr:01-10-1997 n
gift n Donated by Mrs. Henrietta Doe in memory of Mr. Herman Doe.

Multiple n's produce separate note fields (which is what we want) in our records.
Replacement Cost. The item record will contain a replacement cost. See CP 410 for that
figure.
