Multiple Locations


BACKGROUND: The Library processes many title with several copies, each copy in a different location. On the other hand, the library may store parts large sets (multi-volume works) at the Remote Storage Facility. These large sets that are split between Youngstown and the storage facility are usually "serial" in nature. Due to the shortage of space in the Maag Library, only the most recent volumes of "sets" are actually located here.

This has created a few problems in communicating to the User where items actually are. That is, the OPAC screen will show the location from the bibliographic record (usually Maag Library), and then the user will have to search through the item screens to see the actual location. This is also a handicap for the Technical Services staff. The Staff need to be able to readily identify locations of items.

SCOPE: The procedure introduces a feature not used before on MaagNET. It is the use of the "multi" location feature. This procedure sets very strict requirements and rules for the use of this feature. Failure to follow this procedure will cause irreparable database errors.

  1. Identification of Copy or Multi-volume issues.

  2. First determine if what you have is a copy stored in a different location or a multi-volume set. (Multi-volume set is identified with any one of the types of enumeration: editions, volumes, years, etc). See the Location Usage Table for which locations are to be used and substitutions available.

  3. Bibliographic File Maintenance.

  4. Search MaagNET for the appropriate bib record.
    1. Examine the summary of items attached to it.

    2. Enter Location Codes in ALPHA- BETICAL Order.

    3. Write down on scrap paper the locations that you see on the summary screen.

    4. Go back to the Bib record.

    5. Edit the location field (#03) and key in the location multi.

    6. Your screen will now prompt:
      LOCATION: multi
      1 LOCATION? ser
      The default location that was there is prompted as the first location.

    7. The second location will be prompted:
      LOCATION : multi
      2 LOCATION? _____
      In the above example, the location remote will be keyed in. This will show how a serial title that has part of it housed in Maag and part house in the Remote Storage facility will be coded.
    8. A third location will be prompted.   Hit the <ENTER> key instead of entering more information.  This will force MaagNet to the next step.
    9. At the end of the bibliographic record you shall see that a new field, LOCATIONS     ser,remot has been added. You are not able to edit this field.

    10. Add 910 field with notes: r:<your initials>:<today's date>  ‡imulti

    11. Key in Q for Quit.

    12. Key in M for changes.



  5. Examples of other types of multi locations.  Here is one more example of an item held in CRC and Maag.

  7. More than two locations.
    There is the possibility that we may have three copies of a title in three different locations. Or, the possibility that we have a set located in three different locations. See Standard & Poor’s industry survey. Record # B13279981. This has three locations: Remote, Maag, and Reference. See the example of it on the next page.

  9. maag vs. mast locations. It is very important to understand that the location code maag is used in the LIMITING feature of the OPAC. UNDER NO CIRCUMSTANCES should you use mastfor the Bibliographic Record Location. Please do continue to use MAST in the item records.


  10. Withdrawal.When items are withdrawn, use the following procedure to assist in the withdrawal process.

    1. Check to see what locations are remaining in the summary list.   If two are remaining, edit the "multi" field.

      1. Bib. Rec'd. Choose LOCATION 03:
      2. Key in the locations left over and when prompted for a third or more, hit the space bar to blank the location out. Then Quite and Save.
    2. If the only remaining item(s) are ONE location, then change the LOCATION field and code as the only location in the bibliographic record.


  11. Changes of venue.When items change location, and it effect only PARTIAL items, you will need to go through steps 1-5 and apply that appropriate steps. That is, if a request is given to the catalog department to transfer an item from one location to another and it effects only a partial set of holdings, you will need to use the multi feature.


  12. IMPORTANT NOTE. It is extremely important upon withdrawal of items to perform step 6 scrupulously each and every time.
