Replacement Copies

BACKGROUND:In the past, when an item was lost or destroyed and the library replaced the item with a new copy, the item record of the lost/destroyed copy was deleted. A new item record was used for the replacement.

SCOPE: This instruction sheet changes the procedure for replacements so that automated statstistics may be used to collect data regarding the items being replaced.

  1. Retrieve the bibliographic record.


  2. Retrieve the item record that contains the current copy in question.


  3. Replace the old barcode with the barcode assigned to the new item.


  4. Add the following note in the item record:

    repl:<your initials>:<today's date>;

    Example:     repl:jt:03-04-2004


  5. Remember to reset the STATUS field to the appropriate value.


  6. Create a new item record. Code the following:


    STATUS=w
    SUPPRESS=d


  7. Create a note: Record to be deleted @jat
